March 16, 2008 Meeting Minutes

The InPHC general membership meeting was held March 16, 2008 in Kokomo. The meeting was called to order at 1:10 pm by President Jim Cerny. The minutes from the January meeting were read. Larry motioned to accept the minutes as read with a second from Denny and passed.
Lesley gave the treasurer’s report. The stallion service has $13,952, the youth fund has $2034.74 and the general fund has $13,355.15 which includes the money market funds.

The start up money has been sent to the zone, the insurance has been paid, and the newsletter year to date has cost $1054.71, and the website $500. Nancy motioned to accept the report with a second from Larry and passed. The sample April ad that was sent to Horse Circuit News was passed around. Nancy mentioned the importance of the May POR and that it was being moved to Cloverdale with all facilities under one roof. She thinks we need to advertise this aspect and motioned to run a full page ad in Horse Circuit News just for this show with a second
from Ryan Egger. The motion passed.

The cost of the newsletter was again discussed. Mike will check into the details of the lease of the copy machine and the cost of outside printing will also be researched.

Nancy reported there are 57 mare nominations for the open futurity. This is down partly due to the lack of advertising. Because of this, Mike motioned with a second from Nancy to waive the late fees for the mare nomination for 2008 and passed. Nancy reported 33 stallions have been sold through the auction. To help in record keeping and to encourage
buyers, she motioned starting in 2009, the stallion fees will remain at 50% of the advertised fee until the closing date of June 1st. Lesley seconded the motion and it passed.

Mary reported that all but one judge contract is back. The 4-H classes at the Rochester show were discussed. Tracie motioned to offer showmanship, western pleasure, horsemanship, hunter under saddle and equitation classes at a fee of $3 and free if entered in the corresponding APHA class. This was seconded by Mary and passed. Dennis Jackson offered to donate a hi point chair for the 4-H’er at the show. Nancy said she is having trouble finding volunteer announcers and ring stewards for Columbia City and Rochester. She has also run out of ideas of who to contact. Therefore, Mike motioned with a second from Lesley to ask John and Denny to work these shows also and passed.

The added money for the sweepstakes classes at the futurity was brought up. After finding the amounts added for 2007, Mary motioned to add the same of $100 up to and including six entries and $200 for over six entries. Mike seconded this and motion passed.

Tracie gave a youth report. The youth will be selling horse and dog treats at the shows. They are looking at this and other fund raisers because she has four girls interested in the judging contest at The World Show and possible participation in the team tournament also.

Tracie Bousman gave the information in starting the Hoosier Shootout. Guidelines will be posted on the website and in the newsletter. It will be held at the futurity show with qualifying taking place at Rochester, Columbia City, and Saturday of Danville. Showmanship is the only class offered this year and winning under one judge at any of these shows will qualify the exhibitor/horse team. There are prizes for winners and
qualifiers. She estimated it to cost $600 and she already has $300 donated and will work on more. Mike motioned to do this with seconds from Larry and Mary and motion passed.

In other business, the February board meeting was canceled twice due to bad weather. The show committee recommendations were voted on via e mail with the following results: Do not split the amateur halter into jr and sr divisions, raise the May POR stall fees to $60 by May 1 and $75 afterwards, raise futurity stall fees to $50 by August 1 and $65 afterwards, to eliminate the second family horse fee, to place an ad in Horse Circuit News and to list our show dates free of charge in Horsepower.

Next meeting is also in Kokomo April 8, 2008 at 6:30 pm.
Meeting adjourned at 3:05 pm.
